CUSTOM SOFTWARE
Connecting Moneybird: what is really possible?
Moneybird itself works fine. The manual work sits next to it: in quotes, hours and customer details that live in another system and get retyped.
First look at what Moneybird can already do itself.
Before you have anything connected: Moneybird solves part of the manual work around invoices itself, without an integration and at no extra cost.
- Quote to invoice. You convert an accepted quote in Moneybird into a draft invoice with the same lines at the push of one button.
- Reminders. In a workflow you set whether Moneybird sends reminders itself, when, and with what text. You write that text yourself, so it can sound like your business.
- Hours. Hours you record in Moneybird can be put on an invoice from the time overview, line by line or summarised.
If you are not using these features yet, start there. It takes an afternoon to set up.
Where an integration does pay off.
The manual work is usually not in Moneybird itself, but in the systems around it. If the information is already somewhere else, someone retypes it. That is the part an integration removes. Moneybird has a public API with webhooks, so a lot is possible.
Quotes from another system. If you make quotes in a costing tool or CRM, an integration creates the draft invoice in Moneybird on approval, with the same customer, lines and VAT.
Hours from your planning. If the hours are in a planning tool or your own time registration, an integration converts them into invoice lines per customer at the end of the period. That way no hour worked is left unbilled.
Customer details in one place. A new customer in your CRM then also appears in Moneybird, with the correct address and VAT number. If something changes, it changes in both places, and an invoice does not go to an old address.
Orders from your online shop. If orders come in through an online shop that has no Moneybird integration of its own, an integration can put the invoice and the payment in Moneybird.
Keep the check in place at first. Have an integration create draft invoices, not sent invoices. Someone checks and sends. Only once you know where the exceptions are do you let go of that for fixed amounts.
When it does not pay off.
If you send a handful of invoices a month and they are almost always right, the manual work may cost you an hour a month. You will not earn that back with an integration.
If you are about to change accounting package, wait. Building an integration on a package that will be gone in a few months is a waste.
And if the administration is not being kept up now, an integration will not solve that. Automating a messy process mostly produces mess faster. First define how it should work.
Should you move away from Moneybird?
No. If Moneybird works for you and your accountant, keep it. You build an integration around your existing package. The same goes for Exact Online, e-Boekhouden or SnelStart.
What TrompTech does here.
A Moneybird integration is custom work: we build it for your own situation, with a fixed price up front. Such an integration usually costs between €3,500 and €12,000, then €249 per month for maintenance. All amounts exclude VAT.
The TrompTech Layer itself has no Moneybird integration. You can, however, create quotes and invoices in the Layer: an accepted quote becomes a draft invoice there with one click, which only goes to the customer once someone in your team has approved it. Whether that is more convenient for you than Moneybird depends on where the rest of your work is. We are happy to work that out with you.
